About journal-entry

A workflow assistant for preparing accounting journal entries with proper debits, credits, supporting detail, and review documentation. It supports common month-end close entries: AP accruals for goods or services received but not invoiced, fixed-asset depreciation and amortization, prepaid expense amortization, payroll accruals, and revenue recognition including deferred revenue adjustments. It is invoked as /je <type> <period>, where period is something like 2024-12, 2024-Q4, or 2024. The skill explicitly notes it does not provide financial advice and that all entries should be reviewed by qualified professionals before posting.

The workflow has five stages. First it gathers source data: if an ERP or data warehouse connector is available it pulls the trial balance, subledger detail, prior-period entries of the same type, and current GL balances; otherwise it prompts the user to paste or upload that data. Second it calculates the entry using type-specific logic, for example computing depreciation by asset class and method for fixed assets, or reviewing performance obligations and adjusting deferred revenue for revenue recognition, and it specifies the correct debit and credit accounts for each type.

Third it generates the entry in a standard table format with line, account code, account name, debit, credit, department, and memo columns, plus supporting detail and a reversal flag. Fourth it runs a review checklist verifying that debits equal credits, the period and account codes are correct, calculations are supported, memos are audit-clear, coding is right, treatment is consistent with prior periods, accruals auto-reverse, documentation is referenced, and the entry is within the user's approval authority. Finally it outputs the formatted entry, supporting calculations, a prior-period comparison, flagged items, and posting instructions for the user's ERP. Use it when booking accruals, recording depreciation or amortization, posting revenue adjustments, or documenting an entry for audit review.

FAQ

What journal entry types does it support?

AP accruals, fixed-asset depreciation and amortization, prepaid expense amortization, payroll accruals, and revenue recognition including deferred revenue adjustments, selected via the type argument (ap-accrual, fixed-assets, prepaid, payroll, revenue).

Does it need an ERP connection to work?

No. If an ERP or data warehouse is connected it pulls the trial balance, subledger detail, and prior entries automatically; otherwise it prompts you to paste trial balance data or upload a spreadsheet.

Does this replace review by an accountant?

No. The skill states it does not provide financial advice and that all entries should be reviewed by qualified financial professionals before posting.

What checks does it run before finalizing an entry?

A checklist confirming debits equal credits, correct period and account codes, supported calculations, clear memos, correct department coding, consistency with prior periods, proper reversal flags, referenced documentation, and that the entry is within your approval authority.

How is the finished entry presented?

As a standard table with line, account code, account name, debit, credit, department, and memo columns, plus supporting detail, a reversal indicator, a prior-period comparison, flagged items, and posting instructions for your ERP.
